Privacy policy

What we collect.

From the website, only what you type into a call back form: your name and a phone number. The forms carry two hidden fields that exist to catch automated spam. If anything is entered into them the submission is discarded, and nothing from them is stored.

We deliberately do not ask for medical details in a web form. A website is not the right place to describe a condition, and we would rather ask you about it properly.

When you call, message us on WhatsApp or send an email, we hold that conversation and the number or address it came from.

At the clinic, as any medical practice does, we record:

• your name, age, contact details and, where a procedure requires it, proof of identity
• your medical history, current medication, allergies and relevant family history
• examination findings, diagnosis, the treatment plan and what was actually done
• clinical photographs, where they serve your treatment
• payments, invoices and, where relevant, insurance details

Our website and campaign pages also record ordinary technical information through the tags described below: an approximate location from your IP address, the device and browser you used, the pages you looked at and the advertisement or search that brought you here.

Why we hold it.

To call you back when you ask us to, and to arrange and confirm appointments.

To diagnose and treat you, and to keep a record accurate enough that any doctor here can pick up your care safely. Knowing your allergies and current medication is part of treating you without harming you.

To take payment and issue invoices, and to meet the record keeping and tax obligations the law places on a medical practice.

To understand which advertisements bring people to the clinic, so we are not paying to show the wrong thing to the wrong people. This is measurement in aggregate, and it plays no part in your care.

Medical records and clinical photographs.

Your medical record is confidential. It is seen by the doctor treating you and by the staff who need it to arrange your care or process a payment, and by nobody else.

Clinical photographs are taken only where they are useful to your treatment, for example to judge whether a course is working. They are stored with your record and treated as part of it.

A clinical photograph is never published, shown to another patient, or used in advertising or on this website unless you have given separate written consent for that specific use. Consenting to treatment is not consent to publication. You can withdraw that consent at any time, and we will stop using the image.

Cookies and tracking.

The main website sets no advertising or analytics cookies of its own. Our typefaces are served from our own site rather than from Google, so simply reading a page here does not report you to anyone.

Two things on the site do involve other companies:

• the Google Map on the contact page. It loads from Google and Google may set cookies when it does. If you would rather not load it, the address and a directions link sit directly beneath it and work on their own
• our advertising campaign pages, the ones you reach by clicking a Google advertisement. These carry Google Tag Manager and a Google Ads conversion tag, which tell us that a click led to an enquiry. They also carry an analytics script hosted on our own server

The Instagram section shows images we host ourselves and links out to our profile. It does not embed Instagram, so Instagram is not told that you visited this page. It will know if you follow the link.

You can block or delete cookies in your browser settings. Nothing on this site stops working if you do, apart from the map.

Who else sees it.

The doctors and staff at the clinic who are involved in your care or in arranging it.

Laboratories, imaging providers and, where a procedure needs an operating theatre or an overnight stay, the hospital or surgical facility concerned. We share only what those people need to treat you safely.

Google, in the aggregate advertising measurement described above.

Meta, if you choose to message us on WhatsApp, because the conversation happens on their service.

The companies that host this website and our email, who hold the data on our behalf and are not permitted to use it for anything else.

Anyone we are required by law to tell, such as a court order or a statutory public health obligation.

We do not sell your personal information. We do not pass it to anyone for their own marketing.

How long we keep it.

Medical records are kept for at least three years from the start of your treatment, which is the minimum the Indian Medical Council regulations set, and longer where a condition or a procedure makes a longer record sensible.

Enquiry details from the website are kept while we are dealing with your enquiry and for a reasonable period after, in case you come back to us. If you ask us to delete them, we will.

Where we no longer need something, we delete it.

How we protect it.

This website is served only over an encrypted connection, so anything you type into a form is encrypted in transit.

Access to patient records is limited to the people who need it to do their job. Physical records are held at the clinic.

No system is perfect, and we would rather say so than claim otherwise. If something happens to your data that puts you at risk, we will tell you and the authorities, as the law requires.

What you can ask us to do.

Under the Digital Personal Data Protection Act, 2023, you can ask us to:

• tell you what personal data of yours we hold and who we have shared it with
• correct anything inaccurate, incomplete or out of date
• delete data we no longer have a reason to keep
• withdraw a consent you previously gave, including consent to use a photograph
• nominate someone to exercise these rights for you if you are unable to

Two honest limits. We cannot delete a medical record we are legally required to retain, and withdrawing consent does not undo something already lawfully done with the data before you withdrew it.

Ask by email or by phone, using the details below. We will not charge you, and we will answer as quickly as we reasonably can.

If you are unhappy.

Tell us first. Email thechelmerclinic@gmail.com or call the clinic, marking your message for the attention of the Grievance Officer, and we will look into it.

If we do not resolve it, you can complain to the Data Protection Board of India.

Children.

We treat children, and we do so with the consent of a parent or guardian. A child cannot consent to treatment or to the use of their data here.

This website is not aimed at children and we do not knowingly collect a child’s details through it.

Changes to this policy.

If what we do with your information changes, this page changes with it, and the date at the top changes too. There is no other version of this policy.
